1. What information do we collect?

Personal information you provide

We collect information you provide when you create an account, join the waitlist, use Blitzcribe, or contact us. This includes:

  • Account information. Names, email addresses, account identifiers, profile information, authentication information, and communication preferences. Clerk handles account authentication and credentials, including passwords where password sign-in is used. Our application database does not store your plaintext password.
  • Recordings and transcripts. Audio you record or upload; recording titles, file types, sizes, and duration; generated transcripts; language information; speaker labels and names; word timestamps and confidence information; and edits, pins, assignments, and review selections you save.
  • Waitlist information. Your email address and waitlist registration information, which we use to notify you about access to Blitzcribe.
  • Support and communications. Messages and any content you choose to send when seeking help, providing feedback, or making a privacy request.

Recordings and other content may contain information about people who do not have a Blitzcribe account, including interview participants and people mentioned in an interview.

Sensitive information and recording permissions

We do not ask for information about your health, political opinions, religious beliefs, racial or ethnic origin, sexual orientation, or similar sensitive personal characteristics to create an account or provide platform features.

Recordings, transcripts, speaker names, and support messages may contain this information if users choose to include it. We process the content you submit to provide recording storage, transcription, editing, playback, and sharing features. Content displayed elsewhere in the application may also appear in session replay used for troubleshooting, as described below.

You are responsible for determining whether recording, uploading, transcribing, and sharing content is lawful and for obtaining any required consent, permissions, or other legal authority from the people concerned. This includes providing any required notice about processing their information through Blitzcribe and its service providers. We do not obtain participants’ consent on your behalf or determine whether you have the rights needed to submit particular content. Using Blitzcribe or accepting this notice does not itself obtain consent from anyone you record. These responsibilities do not limit our own obligations under applicable privacy law.

Microphone, notifications, and local files

The mobile app requests microphone access to record audio, including when a recording continues in the background. On Android, it requests notification permission to show that background recording is active. These are recording-status notifications, not a subscription to promotional push notifications. You can manage permissions in your device settings; disabling a required permission can prevent recording features from working.

The mobile app stores recordings and recovery information on your device while recording or waiting to upload. Failed uploads can remain there for retry. See retention and deletion for information about local files and exported copies.

Information collected automatically

We and our service providers collect technical and usage information when you visit the website or use the apps. This can include:

  • IP addresses, browser and operating system information, device model, language settings, application versions, and browser or app identifiers;
  • pages and screens viewed, referring pages, visit times, clicks or touches, and actions such as uploading, editing, copying, or exporting;
  • technical errors, crash reports, performance information, and diagnostic logs.

IP addresses may indicate an approximate location, such as a country or city. The apps do not request GPS or precise device-location access. Disabling a device’s location permission does not prevent approximate location from being inferred from its IP address.

We use PostHog for analytics and diagnostics. When you sign in, we associate usage information with your account identifier and may associate your name and email address with that analytics profile. Activity collected before sign-in may be linked to the same profile. This information is not necessarily anonymous.

Session replay

We use PostHog session replay in the mobile app to understand how people use Blitzcribe, reproduce problems, and fix bugs. Replay reconstructs activity within the app, including screens and interactions. Authentication screens are masked in session replay. Other application text is not fully masked, so replay may include recording titles, transcript text, speaker names, and other information you view or enter. Authorized personnel may review these replays for troubleshooting and product improvement. Session replay is separate from the audio you record with the microphone.

Cookies and similar technologies

Our website and web app use cookies and browser storage for authentication, preferences, and analytics. These technologies can remember your session and settings and help associate activity across visits. The mobile app also uses device storage for authentication, preferences, and analytics identifiers.

You can use your browser settings to block or clear cookies and site storage. Doing so may sign you out, reset preferences, or affect features. These browser controls do not stop all server-side processing or remove information already collected. You can contact us about your information using the privacy request channels.

Information from authentication providers

Clerk and the third-party login providers offered on the sign-in screen may provide account identifiers, authentication status, name, email address, and profile information. The information depends on the provider and permissions involved. See third-party logins.

Google API

Where you choose Google sign-in, our use of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements.

2. How do we process your information?

We process personal information for the following purposes:

  • Account administration. Create and authenticate accounts, manage account information, and provide access to the Services.
  • Recording and transcription. Store uploaded audio, generate transcripts and speaker labels, save edits and speaker assignments, synchronize your library, and provide playback, copying, and export features.
  • Support and service communications. Respond to questions, investigate problems, provide account or service notices, and request feedback.
  • Waitlist and marketing communications. Notify waitlist members about access and send promotional communications in accordance with their preferences. See communication choices.
  • Analytics and troubleshooting. Understand feature use, review session replays, investigate errors, evaluate the website and marketing, and improve the Services.
  • Security and legal obligations. Protect accounts and the Services, investigate misuse, respond to privacy requests, enforce applicable agreements, and comply with law.

We may process information for another purpose with your consent where required. The information involved depends on the feature you use and the content you provide.

3. When and with whom do we share your personal information?

We disclose information to service providers that help us operate Blitzcribe. The principal providers and their roles are:

Provider Purpose and information processed
Clerk Authentication, account management, and waitlist registration, including account details, credentials, profile information, and waitlist email addresses.
Convex Application database and backend operations, including account-linked recording information, transcripts, speaker names, edits, and review selections.
Cloudflare R2 Storage and delivery of uploaded audio and stored transcription responses.
ElevenLabs Speech-to-text processing, including the audio submitted for transcription and generated transcript information.
PostHog Usage analytics, session replay, diagnostics, and support, including account identifiers, profile information, usage events, replay content, errors, and support messages.
Termly Privacy requests submitted through the linked data subject request form.

We also use providers for website delivery and communications. Information disclosed depends on the service provided and can include technical request information, contact details, or the messages you send us.

When you copy, download, export, or share content, you direct its disclosure to the applications, services, and people you choose. They may retain their own copies under their own practices. These features do not automatically publish your transcripts to the public.

We may disclose information when necessary to comply with applicable law or legal process, protect rights and safety, or investigate misuse. We may also disclose or transfer information in connection with a merger, financing, acquisition, or sale of business assets.

We do not sell personal information or share it for cross-context behavioral advertising. Disclosures to operate the Services and disclosures you direct are described above.

4. Do we offer artificial intelligence-based products?

Blitzcribe uses ElevenLabs to transcribe audio into text, separate speakers within a recording, identify the spoken language, and generate word timestamps and confidence information.

When you submit audio for transcription, we give ElevenLabs temporary access to the audio file. We receive and store the transcription results so you can review, edit, and use them in Blitzcribe. Speaker names you assign and transcript edits you make are stored as part of your Blitzcribe content.

Provider handling of audio and transcription results is also subject to the applicable service agreement and provider policies. The ElevenLabs Privacy Policy explains its practices where it applies; processing on behalf of business customers is governed by the applicable data processing agreement. Deleting a recording or your account includes requests to delete associated ElevenLabs transcripts, as described in retention and deletion.

5. How do we handle your third-party logins?

If you choose a third-party login offered on the sign-in screen, Clerk receives authentication and profile information from that provider. Depending on the provider and permissions, this can include an account identifier, your name, email address, and profile picture. We use this information to authenticate you, manage your account, and for the purposes described in this notice.

The login provider also processes information under its own privacy policy. Review that policy and your account settings with the provider for its practices and available choices.

6. How long do we keep your information?

We retain information according to its purpose and the type of information involved.

  • Recordings and transcripts. We keep cloud-stored recordings, transcripts, speaker information, and related edits while your account is active unless you delete them. Recording deletion is available once an upload or transcription has finished or failed. When you delete a recording, we begin removing its associated transcript and stored source files from our application storage and request deletion of its transcript from ElevenLabs. This cleanup has no 30-day waiting period, but retries and provider processing can take additional time. It does not delete your separate speaker library or all historical analytics.
  • Original material. Editing transcript text preserves original transcription information for restoration. Striking a segment is reversible and does not erase the original text, audio, or archived transcription response.
  • Account deletion. Deleting your account removes your ability to sign in. We retain associated application records and files for 30 days after receiving the account-deletion notification, then begin permanent deletion. As part of that cleanup, we request deletion from ElevenLabs of transcripts still associated with your account. We also request deletion of associated PostHog profile, event, and session replay data. Cleanup is asynchronous, and retries or provider processing can take additional time; 30 days is the waiting period before cleanup starts, not a guarantee that every copy is deleted by that date.
  • Waitlist and communications. We retain waitlist information as needed to manage invitations and access notifications, or until you request removal. We retain support correspondence and privacy-request records as needed to address the request, maintain an appropriate record of our response, and meet applicable legal obligations.
  • Analytics and diagnostics. Usage events, replays, and diagnostic information are retained as needed for troubleshooting, security, and service improvement, subject to the retention settings of the relevant service. Deleting an individual recording does not erase all analytics or diagnostic information associated with its use.
  • Device files and exports. Pending recordings remain on the device while awaiting upload or retry. The app removes pending audio after a successful upload, but signing out does not erase all locally stored files. Exported transcripts may remain in device caches, downloads, clipboards, or apps you share them with. Account deletion does not remotely erase all device files or copies held by recipients.
  • Service-provider copies and backups. Our deletion requests to ElevenLabs target the associated transcripts. Other provider-held information and backups can follow separate retention and deletion processes. Contact us to request deletion beyond the self-service controls.

We may retain information longer where required or permitted by applicable law, including to resolve disputes, investigate misuse, or comply with legal obligations. When information is no longer needed, we delete or anonymize it. If immediate deletion from a backup is not possible, we restrict further use until deletion is possible.

7. How do we keep your information safe?

In Short: We aim to protect your personal information through a system of organizational and technical security measures.

We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.

8. Do we collect information from minors?

Blitzcribe is a general-audience service designed for reporters and other interview-driven professionals. Our services and marketing are not directed to children under 13.

If we learn that we have collected personal information directly from a child under 13 without legally required parental consent, we will stop further collection from that child and take steps to delete the information in accordance with applicable law. If you believe a child has provided personal information to Blitzcribe, contact support@blitzcribe.com.

Recordings and transcripts submitted by users may include information about minors. Users are responsible for having the legal authority and any required permissions to record and submit that content, as described in sensitive information and recording permissions. These responsibilities do not limit our own obligations under applicable privacy law. If you have a concern about a child’s information in submitted content, contact support@blitzcribe.com.

9. What are your privacy rights?

In Short: You may review, change, or terminate your account at any time, depending on your country, province, or state of residence.

Withdrawing your consent: If we are relying on your consent to process your personal information, you have the right to withdraw your consent at any time. You can withdraw your consent at any time by contacting us by using the contact details provided in the section “HOW CAN YOU CONTACT US ABOUT THIS NOTICE?” below.

However, please note that this will not affect the lawfulness of the processing before its withdrawal nor, when applicable law allows, will it affect the processing of your personal information conducted in reliance on lawful processing grounds other than consent.

Opting out of marketing and promotional communications: You can unsubscribe from our marketing and promotional communications at any time by using the unsubscribe option provided in a promotional email or by contacting us using the details provided in the section “HOW CAN YOU CONTACT US ABOUT THIS NOTICE?” below. You will then be removed from the marketing lists. We may still send service-related messages needed to administer your account, respond to requests, or operate the Services.

Account information

You can review and update account information in your account settings and use the account-deletion option where available. You can also contact support@blitzcribe.com or submit a data subject access request to request access, correction, a copy of your information, or deletion. Transcript exports do not include every category of information associated with your account.

Account deletion and removal of stored content follow the timing and scope described in retention and deletion.

Information about people recorded by users

If your information appears in content submitted by another user, you may contact us using the same privacy-request channels. Where we process that content on behalf of an organization, we may need to coordinate with that organization to respond. We consider applicable law and the rights of other people when handling these requests.

10. Controls for do-not-track features

Some browsers and operating systems offer a Do-Not-Track signal. We do not currently change our data collection in response to that signal.

Global Privacy Control is a separate signal for opting out of sale or sharing for cross-context behavioral advertising. We do not sell personal information or share it for those advertising purposes. This statement does not mean that all analytics or service-related processing stops when a browser sends a privacy signal. You can use the privacy-request channels to exercise rights available under applicable law.

11. Do United States residents have specific privacy rights?

In Short: If you are a resident of California, Colorado, Connecticut, Delaware, Florida, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah, or Virginia, you may have the right to request access to and receive details about the personal information we maintain about you and how we have processed it, correct inaccuracies, get a copy of, or delete your personal information. You may also have the right to withdraw your consent to our processing of your personal information. These rights may be limited in some circumstances by applicable law. More information is provided below.
